Online Payments and Communication System
Online payments should be made for all College activities through the School Gateway System. Cash and cheques will now only be accepted in exceptional circumstances.
If you have not yet signed up to School Gateway please read the information in the Schools Gateway tab and follow the link to the log in page.
Payments can be made by more than one person as long as we hold their details on our system and they have parental permission. Each person will need their own login; this will enable parents to split payments if they require. Each individual will be able to see all payment requests and balances outstanding for their child but will only see the payment history for their own transactions.
Whilst you can make payments against your child’s catering account via the app, to view balances and to see a breakdown of their food purchases you will need to access the school gateway website (www.schoolgateway.com) using the link at the top of this page. Select the ‘Payments’ icon, which will take you to the payments tab. From here choose the ‘Lunch Money’ tab and this will list all payment history, balances and food purchases. This facility is not currently available via the app, however the provider is looking into adding this to the app in the near future.
So what do I need to do?
If you wish to make a payment for a trip/revision guides/food etc, you will just need to click on the ‘Payments’ link either on the app or via School Gateway website (www.schoolgateway.com). You will then see a list of payment requests for your children. From here you can make multiple payments for multiple children all at the same time using one transaction. A receipt will be automatically sent to you as confirmation of payment.
We use the School Gateway system to facilitate communication by email and through the School Gateway App. It is easy to create and use an account on any web connected device. Details are below.
The College uses the email address and mobile number that we hold on file for anyone who has Parental Responsibility. If this needs updating please contact your child’s AtHoS in the relevant School.
Please note that you cannot register on the website unless you have access to a mobile phone and its number is held on our system against your name.
In addition to being able to make payments, by registering your details at www.schoolgateway.com you will also be able to see the following live data:
- Achievement points
To register, go to the above website and:
- Click on NEW USER
- Enter the email address and mobile number currently held by the College
- Click SEND PIN
A PIN will be sent to your mobile phone. You will now be able to log on and make payments and see the above data for your children.
Via Apple or Android app
If you have an Apple or Android device, you can download an app which will enable you to access the School Gateway directly from your device. The app does not work on BlackBerry or Windows smart devices. You do not need to have registered via the website to download and register the app. This app will give you access to the same range of information as the website.
- Go to your app store, search for “School Gateway” and download the app (from an iPad please ensure you have the search setting as iPhone only) – this is completely free to download and also enables the College to send you texts free of charge.
- Once downloaded, select the “I’m a New User” button and enter the email address and mobile number that we have on record for you. Select “Send PIN” and you will receive a text to your mobile phone stating your PIN.
- Log in with your email address and the PIN – your account is now active and you will receive instant notifications of messages in your notifications bar.
You will now be able to log on and make payments and see the above data for your child/ren.
Texts and email – general information
By downloading the app you will be able to receive free texts from the College. Texts/text replies will only be sent to parents/carers who have downloaded the app as doing so makes this free of charge to the College. For parents/carers who have not downloaded or cannot download the app, all communication will be via email. If you wish to send an email to College, please continue to do so in the normal way, either to or directly to the College email address of a member of staff if you have their details.
What if I don’t have access to email?
If you don’t have access to email, you will still be able to receive paper communications – you will need to ensure that you have notified your child’s Head of School if you wish this to be the case.
School Gateway is registered with the Data Protection Act. All information you provide will be kept private and will not be passed on to any other organisation. Your details will only be used for the purpose of College business. You will not receive any spam or marketing material.
